Provide organizational and support services for Hippodrome Staff, Cast, and Crew during mainstage productions, marketing, and development functions working directly with the Artistic Director and General Manager.

Essential Job Functions

* Arranges all travel and local housing arrangements, including transportation to and from airports and shipping baggage, for actors, directors, designers, playwrights, interns and VIP's.
* Updates and distributes itineraries and schedules for artists/interns and arranges transportation for artists for marketing events, interviews with local medial, and other local errands as required.
* Maintains company housing and furnishings inventory for guest artists and interns as well as scheduling cleaning and maintenance for all apartments.
* Maintains cost and receipts for housing, transportation, and hospitality expenses
* Has working knowledge of AEA union rules governing housing, transportation, baggage and reimbursements.
* Supports all marketing and advertising efforts including postering, mail outs and distribution of theatre information to media outlets.
* Oversee arrangements for production-related and in-house social functions including photo shoots, opening, and closing night functions.
* Provides support to the Artistic Director and Dramaturg assisting in the scheduling of auditions, projects, and programs
* Provides administrative support to General Manager
* Perform other related duties incidental to the work described herein.

Job Skill Requirements

* Excellent written and verbal communication skills.
* Excellent organizational skills
* Working knowledge of Word, Excel, Outlook, and other commonly used PC programs
* Ability to conduct research
* Flexibility, positive attitude, responsible, and a willingness to commit to long hours, hard work, and a demanding schedule
* Ability to think on feet and step into unfamiliar roles
* Ability to work in a fast paced, high energy artistic environment
* Ability to work collaboratively with different personality types
* Self motivated
* Good customer service skills
* Able to work some weekends and evenings
* Valid Florida Driver’s License
* Must be over 21 years of age or over for insurance reasons
* Responsible, efficient, and ability to multitask.
* Ability to work a flexible schedule including some weekends and evenings.
